WhatsApp & Jobber
Below is some information about the systems Wingmom uses to communicate, assign and complete jobs.

WhatsApp is a messaging application that is utilized by Wingmom to communicate available jobs and other important information to their Independent Contractors.
Click the appropriate link below to download WhatsApp to your mobile device. You will not be able to join the chats until you do so.
After you have completed your onboarding, you will be added to the Community for the Wingmom Branch in which you will be working.
When setting up your account, please edit your name to match the one used during your Wingmom onboarding. That way, your name in WhatsApp matches your name in Jobber and clients are able to recognize you when you are introduced to them.
Once you are a member of the community, you will see different groups (chats) such as Info and Jobs. You will need to join these groups in order to see the information.
WhatsApp chats will be utilized for clients with recurring schedules and when there is more than one Wingmom team member. These chats will be created by your Wingmom admin and then you will be added.
Do not create chats or text message threads on your own outside of our WhatsApp Communities.
Please see our communication policy below for more information about Wingmom's use of WhatsApp, specifically pertaining to communication with clients.

Jobber is Wingmom's online scheduling platform and accompanying app where jobs are scheduled and (and once accepted) assigned, and client contact information is kept.
DO NOT CREATE YOUR OWN JOBBER ACCOUNT.
Wingmom will send you an invite via email; this invitation expires after 24 hours.
From there, you will set up your profile and password and upload a profile picture.
Any/all information available within Jobber is strictly confidential.

Please thoroughly read and ensure you understand the following policy as Wingmom takes the communication with and about its clients very seriously.
Professionalism and Respect
Language and Tone: Always use professional language and maintain a respectful tone in all communications.
Pertinent Information: Please only share factual, concise, and vital information in chats.
Confidentiality: Respect client confidentiality and adhere to privacy laws (e.g., GDPR, HIPAA).
Channels of Communication
Preferred Channels: WhatsApp messenger, Jobber.
Family Chats(when applicable): Used to update family members regarding their loved ones' care. These chats are not for procedural issues. Please keep your comments factual and respectful of the clients and your fellow staff members. This is NOT a chat to communicate from staff member to staff member.
Staff Chats: Used to discuss behind the scenes challenges and issues such as staffing, call outs, etc. This chat is to be used to also discuss shift notes and staff only service reminders that the family does not need to be privy to.
Security Measures
Data Security: All messages and communication between an independent contractor and a client including WhatsApp and Jobber are governed by Wingmom's confidentiality agreement.
Authentication: Verify client identities before discussing sensitive information. Make sure you are in the correct chat. Never share another client's information in the wrong chat or reference another client as an example.
Compensation

In order to ensure your monies are accurately received, utilize this Direct Deposit Form to submit your banking information.

You will use the timer function in Jobber to clock in and out for jobs. By Monday 9am each week, you need to confirm your time punches in Jobber and leave a note in the time entry itself for any inaccurate entry; a Wingmom work week runs Monday-Sunday.

To submit for a job-related expense (mileage, laundry delivery, purchases and rentals made on behalf of our clients), please add as an expense in Jobber. All expenses must have all relevant fields populated. This includes the date (must match the service date), item name, details, total $, reimburse to (select your name), job (link to the job before marking the job complete), receipt upload when applicable.
See “Expenses Submission” below for a step-by-step tutorial on expenses.

Payrate 1 - $23/hr(Family Services: Babysitting, Senior Services, Personal Assistant, Party Assistance, Transportation)
Payrate 2 - $25/hr (Home Services: Cleaning, and Home Organization)
Payrate 3 - $45/hr(Handyman)
Laundry - $11/load (3 load min) + $5 for delivery. It is your responsibility to claim the delivery fee as a job-related expense with the amount of loads completed notated in the description.
Mileage - $1/mile. This includes the miles while clocked in for transportation, personal assistance, and home services. This does not include getting to and from the assignment. It is your responsibility to claim the mileage as a job-related expense.
Minimums 1 hour, reimbursed to the minute.
Meet and Greets - $20. In some cases, and for certain services, there will be a scheduled meet and greet with the client, lasting no longer than one hour.
Holidays - For services that are ongoing with a set schedule, Wingmom Bucks County charges/pays time and a half for shifts that fall on the following holidays: New Year’s Eve and New Year’s Day, Thanksgiving Day, Christmas Eve and Christmas Day. This does not include one-off jobs… If the pay rate for those jobs is more, it will be advertised at the time the job is posted.

A processing fee of 2.9% will be deducted from each tip to cover the costs associated with processing electronic payments. These tips will be distributed based on the week they were received (i.e. when the invoices are paid, not necessarily the week when the job is completed).
Example: A job is completed in Week 1. The client invoice is paid in Week 2 and includes a $20 tip. A 2.9% processing fee ($0.58) will be deducted and the staff member will receive $19.42 added to their next compensation.

Wingmom, Inc. uses Direct ACH payment for staff compensation.
As stated above, you need to confirm your time punches and expenses in Jobber by Monday morning. As long as your time punches are complete and accurate, your monies will be sent via Direct Deposit the following Monday; you will receive email notification of payment with the specific work week notated.
Example: If the work week is Monday the 1st - Sunday the 7th, you would confirm your time punches and expenses by Monday the 8th and your monies would be received on Monday the 15th.
Jobs

Available jobs are posted in the appropriate chat in WhatsApp.
Accept a job by replying directly to the post.
Admin will confirm with the client and assign you the job in Jobber, which will show on your Schedule (tab at the bottom of your Jobber screen) with the full client details. There are multiple views, including list, calendar and map views.
If you are asked to contact the client to determine the scheduling of a job, you must communicate this to Admin so it can be updated and scheduled in Jobber.

Dos:
Do arrive early.
Do look put together.
Do introduce yourself clearly.
Do listen more than you talk.
Do take notes.
Do clarify THEIR expectations-Confirm services, schedule, boundaries, pets, parking, alarm systems.
Do be respectful of the home, this is a job interview and they are welcoming you into their home and life.
Do speak positively about Wingmom.
Confident, solution-focused language. Remember, you are calm in their storm.
Do end with a clear next step.
Do have fun.
Don’ts:
Don’t overshare personal problems.
Don’t criticize their home.
Don’t promise things such as availability, pricing, specific staff. If you’re unsure, say you’ll confirm with the office.
Don’t be on your phone unless you are checking notes related to their services.
Don’t discuss other clients
Don’t discuss things that make you uncomfortable. Make a note of them and let them know we will be in touch
Don’t waste their time
Don’t talk badly about past staff or the company.
Don’t rush out. Even if you’re busy, please give clients the time to get to know you and their routines.
Don’t leave without thanking them and letting them know next steps.

You must clock in and out in Jobber using the Timer function by finding the appropriate job on your Schedule (tab at the bottom of your Jobber screen).
Clock in when you arrive at the service location, no earlier than 5 minutes prior to the scheduled start time, by selecting the green “Start Timer” button.
When the job is complete, you must clock out by BOTH stopping the timer AND selecting the green “Complete Visit.”
If you have expenses (mileage, laundry delivery, client purchases), they need to be added BEFORE you “Complete Visit.”
If either one of your time punches are inaccurate, you still need to clock in/out, then leave a note by finding and clicking “edit” on the appropriate entry of your Timesheet (tab at the bottom of your Jobber screen).
If for some reason, you are unable to locate the job on your schedule, you will still need to utilize the generic “Timer” function of your Timesheet and leave a note with the client name and accurate time punches.
If you have a recurring client and there is a change of schedule or they add services, you must notify Admin so it can be updated in Jobber, otherwise you will not be scheduled for the visit, nor able to clock in/out.

To submit for a job-related expense (mileage, laundry delivery, client purchases), you must add it as an expense in Jobber by clicking the circle with the white + sign in the bottom right-hand corner of your Jobber screen.
All expenses must have all relevant fields populated.

Mileage is reimbursed at the rate of $1.00 per mile for applicable services. This includes the miles while clocked in for transportation, personal assistance, and home services. This does not include getting to and from the assignment. It is your responsibility to claim the mileage as a job-related reimbursement.
Laundry delivery is reimbursed at a rate of $5 per job, regardless of how many loads are completed, however you MUST put the number of loads you completed in the details of the expense in order to be reimbursed appropriately.

Laundry
This service includes contactless pickup, wash, dry, sort, fold, and delivery, completed in your own home with your own supplies. Below are some resources to ensure you are compensated properly and completing the service to the expectations of our clients.

Items are to be washed with your own supplies, unless provided by the client specifically for performing their laundry service.
Always sort colors and whites and, unless otherwise requested, wash items in cold water to avoid color bleeding.
Laundered items are to be folded neatly and sorted according to assumed family members, unless otherwise noted by the client. Example: if there are clearly 3 members of the household: Mother, Father and Child, sort the laundry as follows: Mother’s bottoms, tops, pajamas (if sets, please keep together) and undergarments, Father’s bottoms, tops, pajamas and undergarments, Child’s bottoms, tops, pajamas and undergarments.
Return items in the manner in which they were received. If items were given to you in a client’s hamper, they are to be returned in that hamper. If items were given to you in trash bags, they are to be returned in new, clean trash bags which you will also provide.

Current reimbursement is a flat $5/job for delivery and supplies and $11/load, with a minimum reimbursement of 3 loads.
Once assigned to the job, contact the client to introduce yourself, confirm the service and schedule a pickup time.
When you pick up the laundry, start and end the timer.
When the laundry is complete, message the client and confirm the drop off time; turnaround time is no longer than 48 hours.
After dropping off the laundry, create an expense for the delivery fee, noting the total loads completed in the description, and mark the job as "Complete Visit".
Personal & Home Assistant

Must be able to lift 25lbs and often perform tasks that may involve strenuous activity.
Tasks may include but are not limited to laundry, light tidying, running errands, meal prep and/or home office assistance. Please note, a personal assistant may do some cleaning and organizing from time to time but, if it is becoming exclusive, please report your concern to Admin.
In cases of 2 or more assigned staff, a private chat with the client will be utilized. Conversations about staff call-outs and/or switching shifts should not happen in this chat; this can cause unnecessary stress on our clients.

If you are meeting the client, your hours will begin once you arrive and the mileage will begin at that location and end when you either return to the client’s location or your residence (if you do not go back to the client’s location).
If you are not meeting the client, like in situations where you are only running errands, the hours and mileage will start when you leave your house and end when you either return to the client’s location or your residence (if you do not go back to the client’s location).
Expenses - As with all jobs, it is your responsibility to track and add expenses in Jobber for mileage and/or purchases made on behalf of the client.
If you are completing laundry, you will only be reimbursed per load and with the delivery fee if you are taking the laundry to your residence to complete. This will be communicated in the job posting itself.
Senior Services
Welcome to the Senior Service Care Team and thank you for signing up to work with what is often our most vulnerable population and their families. Below is a list of resources to assist you in providing the most comprehensive services.

WhatsApp: A private chat with the family members and assigned staff will be utilized to provide another means in which to facilitate ongoing and up-to-date communications. Conversations about staff call-outs and/or switching shifts should not happen in the family chat; this can cause unnecessary stress on our clients.
Medication: Wingmom is not authorized to administer medication; the only exception is a prescribed Epi-Pen in the case of a severe allergic reaction. All staff are authorized to do is remind the Senior when it is time to take their medication and bring them the med planner they are kept in. Staff are not permitted to dispense medications under any circumstances.
Breaks: Although you are expected to be on the clock for the entire shift, Wingmom does allow for limited breaks, as long as you keep caring for the Senior the top priority by…
Limit breaks to no longer than 10 minutes at a time.
Avoid breaks during daily care activities such as hygiene routines or mealtimes.
When possible, take breaks while another adult is present or the Senior is resting.
At no point leave the property while on break.

Assist with Basic Needs: Memory and mobility issues can make even basic needs such as eating, bathing, grooming, and toileting difficult. Check-in often and pay attention to specific signs and changes to determine if the Senior needs extra help.
Provide Companionship: One of the most essential but sometimes overlooked parts of caregiving is companionship. Feelings of loneliness in older adults can lead to serious health consequences including depression. When you care for the Senior, you are creating opportunities for an interpersonal bond and emotional connection.
Assess Needs Regularly: As circumstances surrounding the Senior inevitably change, the care plan may need to be adjusted. Review it regularly to determine what’s working, what’s not, and what needs to be adapted. Keep in close contact with the Senior’s family, Wingmom staff and Admin and other members of the caregiving team.
Assist with Transfer & Mobility: Falls are a major risk to the health of older adults. The Senior may have difficulty moving or transferring — from their bed in the morning to a chair in the afternoon, for instance. As a caregiver, you can take steps to help prevent falls and help the Senior stay safe and comfortable.
Monitor Medications: The Senior may take several prescription medications to treat chronic conditions and need help keeping track of their medication list and taking prescribed dosages at the right time. Although we are unable to administer medications, you can help lower the risk of overmedicating by creating reminder systems and monitoring their medications.
Prepare Meals: Food preparation can become increasingly difficult with age. If the Senior lives alone, they may lack the energy or motivation to cook, and, in some cases, memory and balance issues may make cooking unsafe. As a caregiver, you can help with grocery shopping, preparing meals or finding alternatives to ensure the Senior gets proper nutrition.
Assist with Housekeeping: Maintaining a home can become increasingly difficult for older adults and they may need help with dishes, garbage, or vacuuming. If the Senior lives in a house, yard work, snow shoveling, and daily maintenance may be too much for them, even with your help. Consider whether the Senior would benefit from the convenience of extra help and remember... Wingmom offers other services such as Handyman and Cleaning.
Provide Transportation: You may need to provide transportation to get the Senior to their doctor’s appointments and other activities, such as errands or going out to eat. The goal is to provide the Senior with the most autonomy while ensuring they are safe and supported.
Cleaning
Welcome to the Cleaning Service Team and thank you for signing up for one of our more labor-intensive services. Below are some resources to assist you in providing a consistent clean that reflects the Wingmom Way.

If there is more than one staff assigned to the job, a Lead will be assigned and they will work directly with the client to ascertain the pertinent information and communicate that information to the other staff assigned to the job.
Once assigned to the job, you will receive the client’s cleaning intake to ensure you know their expectations. After reviewing the intake, contact the client to introduce yourself and confirm the type of job/rooms involved as well as the time frame for service.
Please arrive at the client’s house 5-10 minutes before your scheduled time. Once inside, you will do a walk through with the client discussing all of the areas you will be working on and making notes if they want to change any of the predetermined services. Admin need to be notified immediately if the client is adding services or if conditions seem worse than expected.
You can take photos during the initial walk through as well as at the end of the service, just explain to the client that they are for internal use only. When taking photos, please protect the privacy of the client and, if possible, refrain from photographing personal pictures, addresses or other identifying markers.
If at any point you encounter biohazardous materials (animal waste/remains, illegal substances, fresh blood, etc.) or unsafe work conditions, you need to stop working and notify Admin immediately, who will advise you on how to proceed. Please keep in mind that a few rodent droppings or a reasonable amount of common mold are not a cause for concern, but, if in doubt, contact Admin for advice.

Use only the provided and appropriate supplies and tools for cleaning. Some cleaners can damage certain surfaces so it is imperative that they are used as instructed. If you are unsure, reach out to Admin for assistance.
Wingmom cleans from the top down therefore you should dust ceilings first, then walls and windows, counters and tabletops, and flooring is to be done last.
All glass and mirrored surfaces should be cleaned using the 2-part method… Use one towel and glass cleaner to clean and a second towel to dry. This removes streaks.
Do not use abrasive tools or cleaners for sensitive surfaces, especially stainless steel.
Sinks, Tubs & Toilets: Spray cleaner and let it sit for a few minutes so it has time to dissolve dirt and stains. Clean toilets last.
Floors: Familiarize yourself with the supplied vacuum and how to adjust rollers and suction. Start mopping from the farthest corner of the room and move backwards towards the doorway (don’t mop yourself into a corner). Rinse the mop every time you complete a 4-by-4-foot area. You will be provided with shoe coverings that should be worn inside once the floors are cleaned.
When done for the day, all supplies need to be cleaned up and trash and recyclables taken out.

In the event of an accident while on the job an incident report will need to be filled out. This will be done for both people, Wingmom Independent Contractors or clients in our care, as well as property, belonging to Wingmom or the clients. Regardless of the severity of the incident, Wingmom Admin should be notified immediately. If you need assistance with filling out this form, please contact Admin.

While engaged in a professional capacity while caring for elderly or vulnerable populations, Wingmom has a Duty to Report if they learn of facts that give reason to suspect any incident of abuse or neglect. Policies & Procedures

While representing Wingmom you are expected to maintain the utmost professionalism while interacting with clients and collaborating with other Wingmoms. Also, you must refrain from making any negative, judgmental or inappropriate comments about the client’s home or personal effects... Always be mindful of your discussions while in the client’s home and/or on the job.

Calling Out: Wingmom understands that situations may arise in which you will not be able to fulfill a job that you have already been assigned to. In this situation, you will immediately contact the Service Manager for that particular job. Do not contact the client directly or repost the job, unless you have been told to do so by Management.
No Call/No Shows: Because the dependability of Wingmom is of the utmost importance to our clients, no call/no shows are unacceptable and carry a no tolerance policy. If a Wingmom Independent Contractor fails to communicate their inability to complete a service, they will no longer be able to book job assignments with Wingmom.

If a client is unhappy with an aspect of the work completed, they have one week from the completion of the service to submit a formal complaint to Wingmom. This includes but is not limited to property being damaged during the service, improper installation of property or the finished product not being up to the client’s satisfaction.
After a formal complaint is submitted by the client, a Wingmom Manager will begin an investigation, lasting no more than 15 days, including reviewing any/all documentation and pictures to determine if the responsibility of repairs lies with Wingmom, you as the Independent Contractor or the client. For this reason, when it is applicable, it is of the utmost importance that you are taking before and after pictures for our records.
The Wingmom Manager will contact the client to discuss a plan of action, which may include a conference call with all involved or scheduling a meeting at the client's home to review the work. You are expected to make yourself available to address and correct any concerns and will not be reimbursed for time taken to investigate or troubleshoot a client's complaint.
Wingmom will make every effort to rectify the dispute without resorting to monetary compensation, including fixing the issue free of charge or providing a credit for future services. If it is determined that you as the Independent Contractor made an error, you will be expected to correct the issue and not bill for this time. If it is deemed that Wingmom must reimburse a customer for payment or compensate for damaged items, you may be held responsible to reimburse Wingmom for this expense and would need to possibly contact your individual liability insurance and file a claim.

If the time should come that you are no longer able to accept jobs through Wingmom, we will be sad to see you go, however we ask that you follow this procedure to ensure a smooth transition for both you and Wingmom.
Please send an email to the GM stating the last day you’re able to accept jobs, as well as a brief description of why; this will help us to better support our Wingmom Independent Contractors in the future. If there are any services that you are already assigned to and cannot complete, it is of the utmost importance that you include the name, date and details about the service in your email.
Depending on the date of your last job and if your timesheet is submitted in a timely manner, Wingmom reserves the right to withhold your final pay for up to 30 days, in order to ensure that you have followed the termination process and have no outstanding service issues. Similarly, if you have any supplies, equipment or tools belonging to Wingmom, your final pay may be withheld until they are returned.
Lastly, if it has been 60 days or more since the last job assignment you completed, your status will be archived unless you have given Wingmom Admin written notice of a temporary leave of absence.

Wingmom does not tolerate or condone substance abuse. It is our policy to maintain a workplace free from alcohol and other drug abuse and its effects. Wingmom Independent Contractors and employees who engage in the sale, use, possession or transfer of illegal drugs or controlled substances, or who offer to buy or sell such substances; the use of alcohol during working hours; or the abuse of prescribed drugs will be subject to disciplinary action up to and including termination.

Wingmom values all of their Independent Contractors, employees, clients and their property, and expects that Wingmom Independent Contractors and employees, in turn, value the company’s and its clients’ assets. Therefore, Wingmom does not tolerate any employee theft, or stealing of any kind, including but not limited to: fraudulent timesheet reporting, theft of money, tools, inventory or other items, information or ideas that belong to the company or to a Wingmom Independent Contractor, employee, client, or business partner of the company.
As such, we expect all incidents of staff theft to be reported immediately to Wingmom Admin along with any data or information you have observed or obtained. Staff caught breaking any state or federal law, including staff theft of private or company property or falsifying timekeeping records, will be terminated with no warning given. In addition, a police report may be filed, as well as a potential lawsuit against the employee with a request for restitution of funds or products, inventory or assets. To prevent staff from false accusations, we will investigate all claims of theft and discipline any Wingmom Independent Contractor or employee making a false accusation.
